Privacy Policy – Grok Bot QuickBooks Integration

This Privacy Policy explains how The Bug Bully, LLC ("we," "us") handles data accessed through "Grok Bot QuickBooks," a private software integration that connects to our own QuickBooks Online account. This integration is used only by The Bug Bully, LLC. It is not offered to, sold to, or used by any other business.
WHAT DATA WE ACCESS
With our authorization, the integration uses Intuit's QuickBooks Online Accounting API (scope: com.intuit.quickbooks.accounting) to read customer records stored in our own QuickBooks Online company, such as customer names, email addresses, and phone numbers.
WHY WE ACCESS IT
We use this information only to help our AI assistant draft customer outreach emails (for example, service reminders and follow-ups). Every message is reviewed and approved by the business owner before it is sent. We do not use the data for advertising, profiling, or any unrelated purpose.
HOW DATA IS STORED AND PROTECTED
The OAuth access tokens that allow the connection are stored securely on a private, access-controlled computer used by our business. Customer data is accessed only as needed to complete a task, and access is limited to the business owner and the tools he authorizes. We use reasonable safeguards to protect the data from unauthorized access.
NO SELLING OR SHARING
We do not sell, rent, or trade QuickBooks data. We do not share it with third parties for their own use. Data is used only to carry out the purpose described above.
RETENTION
We keep QuickBooks data only as long as needed to draft and send the approved outreach. Customer records remain in QuickBooks Online as our system of record. If the integration is disconnected, Intuit revokes its tokens immediately, so it can no longer access QuickBooks data, and we delete any stored tokens.
HOW TO REVOKE ACCESS OR DISCONNECT
Access can be revoked at any time by disconnecting the "Grok Bot QuickBooks" app from the QuickBooks Online account (in QuickBooks, go to Settings > Apps or Intuit account > Connected apps, and choose Disconnect). Once disconnected, the integration can no longer read any QuickBooks data.
